Working along side a Conference Services Support team member, this position will ensure that all functions of the main reception desk are handled in a professional and timely manner.

 

Responsibilities include but are not limited to:

  • Answer main switchboard calls as well as calls that come to the main switchboard via callers dialing for the receptionist; route direct callers, based on nature of call, to appropriate person; take messages from callers; answer inquiries and provide factual information pertaining to office or by sending relevant information via mail or e-mail.
  • Greet visitors, determine nature of business, direct them to appropriate person and notify appropriate person of visitor’s arrival; answer visitor inquiries.
  • Assist candidates with completing applications if needed. Maintain updated application documents.
  • Monitor schedules and observe arrivals and departures of guests.
  • Assist with variety of clerical duties including printing documents and mailing projects that include stuffing, addressing and labeling envelopes.
  • Maintain conference room bookings through firm-wide Rendezvous software.
  • Assign Wi-Fi passwords to guests and visitors.
  • Schedule various departmental firm-wide meetings by coordinating with New York and various other offices.
  • Create and distribute electronically Daily Bulletin for Boston office.
  • Monitor use of visiting offices and ensure visitors of the Firm have an office, telephone extension, and information booklet when needed.  Communicate room assignments via Firm intranet and emails to appropriate parties.
  • Maintain electronic booking system with building to ensure that visitors can access the office upon arrival. Distribute and track temporary passes, when appropriate. Monitor and prepare supplies necessary to maintain administrative functions of Main Desk Maintain relationship with caterers to ensure smooth ordering of all food orders. Ensure invoicing for all catering events are done accurately and timely.
  • Coordinate the delivery of evening dinners and act as liaison with vendor to ensure timely and accurate delivery.
  • Assist with various aspects of in-house catering and events including assisting as needed with catering, maintenance, hospitality, and visitors to the office.
  • Monitor and track all cab vouchers and parking validations.
 

Qualifications

 
  • Bachelor’s Degree required.
  • Minimum of one year of experience in a high-volume professional services environment.
  • Outstanding interpersonal skills and the ability to effectively communicate.
  • Excellent attendance and punctuality.
  • Ability to work effectively in a matrix-type organization.
  • Strong written and oral communication skills, as well as strong organizational skills.
  • Ability to manage multiple projects concurrently and work independently.
  • Proactively identify and analyze problems, develop solutions and deliver results.
  • Solid technical skills in Microsoft Office, as well as the ability to learn new software and applications.
  • Flexibility and willingness to work overtime.
